Hosting Guests Travelling to Istanbul from Abroad

What to arrange, what to communicate, and what your guests will thank you for months later.

A destination wedding asks something of your guests: time off, a flight and real money. Most of hosting well is removing decisions from them rather than adding events.

Tell them early, in writing

Date, city and rough cost expectation as far ahead as you can — a year is not too early. Guests who need to save or book leave will forgive almost anything except late notice.

Pick one neighbourhood

Two or three hotels at different price points within walking distance of each other, rather than the best hotel you can find. Istanbul traffic makes distance the real cost, and guests staying near one another turn a wedding into a weekend.

Transport is the kindest thing you will pay for

Arrange the transfer from the hotels to the venue and back, and publish the times. It removes taxi negotiations, guesswork and the risk that half your guests miss the ceremony.

Give them one free day

Guests who have flown want a little of the city, not a full programme. One optional gathering and one empty day is a better host than three organised outings.

One page, not forty messages

Put everything on a single page you can update — dates, hotels, transfers, dress code, what to do with a spare day — and send that link every time somebody asks. Answering in messages means six people get six slightly different answers and the seventh gets none.

Ask the awkward questions on the RSVP

Dietary requirements, children, and anything affecting access: a guest who cannot manage a jetty, a gravel garden or a flight of stairs up to the terrace. Asking on the RSVP is normal. Discovering it the week before is a problem for you and an embarrassment for them.

Guests do not arrive on one day

For a destination wedding the guest list lands across three or four days and leaves across three more. Decide in advance who greets the early arrivals, and accept that it will not be you the day before your wedding. Nominating one friend or family member as the contact for arrivals is the single most useful job you can hand out.

Say what language the ceremony is in

If the civil ceremony is conducted in Turkish, tell guests in advance and give them a short printed translation of what is being said. It turns ten confused minutes into the part of the day foreign guests talk about afterwards.

Give them somebody who is not you

On the day itself you cannot answer your phone. Publish one name and number that is not yours, and make sure that person holds the timeline, the venue address written in Turkish for a taxi driver, and the transfer times.

Tell them which airport

Istanbul has two, and they sit on opposite sides of the city: Istanbul Airport on the European side and Sabiha Gokcen on the Asian side. A guest who books into the wrong one for your hotel has added a long and expensive transfer to their trip without knowing it. Name the airport you want on the information page, next to the hotels.

The night before is doing real work

An informal gathering the evening before is not an extra event; it is the thing that makes the wedding itself easier. Guests who have already met are guests who talk to each other at dinner. Keep it simple and short — people are tired and some have just landed — but do not skip it if most of the room is arriving from abroad.

Put something in the room

A bottle of water, the timeline printed, and the transfer time for the next day, waiting for them when they check in. It costs very little and it answers the three questions every guest would otherwise message you about at eleven at night.

Write down the practical things

Dress code with the weather in mind, whether the venue is outdoors, what shoes will survive a garden or a jetty, and how to get back at midnight.
